B5 Estate Coffee sells specialty green coffee to roasters. This notice covers what we collect through b5estatecoffee.com and our emails, why, who handles it for us, how long we keep it, and what you can ask us to do with it. It applies to visitors everywhere and is written to meet the UK and EU General Data Protection Regulation.
Who is responsible
B5 Estate Coffee is the controller of the personal data described here. It is run by Federico A. Baltodano, Ana M. Baltodano and Juandiego Baltodano.

The Brief, our weekly newsletter
What we keep: your email address; your roastery and city if you give them; the country you chose; the language the site was in when you signed up; if you sign up from the coffee diagnostic, your three answers, linked to your address; the exact consent wording you were shown, the page you were on, the time, and your IP address, as the record of your consent.
Why: to send you The Brief. The legal basis is your consent (Article 6(1)(a)). The consent box is never ticked for you, and nothing is sent until you confirm your address from the email we send.
Delivery records: whether each issue was delivered or bounced, which links you clicked, and whether you unsubscribed or marked it as spam. We use these to keep the list deliverable and to learn which issues are useful, which is our legitimate interest (Article 6(1)(f)). We do not track whether you open an email.
Your newsletter address is never added to our sales email tool, and it is never used for anything but The Brief.
The Brief is offered to subscribers in the United States only. We ask for your country when you sign up and accept signups from the United States alone; when one is refused, nothing about it is stored.
Sample requests, the coffee profile and contact
What we keep: your name, company, email, phone, website or Instagram, the lots you asked about, volume, your message, and your diagnostic answers if you came from the diagnostic.
Why: to send the samples and answer you. The legal basis is taking steps at your request before a contract (Article 6(1)(b)) and our legitimate interest in following up with a buyer who asked us to (Article 6(1)(f)).
We may add a sample request to a contact list in Instantly, our sales email tool, so we can follow up on it. That list is for people who asked us for samples, and only for them.
The coffee diagnostic
If you answer the three questions on /coffees, we store the answers and the lots we suggested, without your name or email. They are only linked to you if you then request samples or subscribe to The Brief from that screen.
Your browser
The site sets no cookies, runs no analytics and carries no advertising or tracking pixels.
Your browser's own storage keeps your language choice, and whether you dismissed or used the newsletter bar, so we don't ask twice. It stays on your device, and clearing your site data removes it.
While signup for The Brief is closed, a request to its signup address is answered as if the page did not exist, and we keep a short record of the attempt: the time, the request method, the browser's description of itself, the country your network connection is in, and the page you came from, without anything after the “?”. It holds no IP address, no email and nothing you typed. We keep it to learn whether anyone was turned away, which is our legitimate interest (Article 6(1)(f)), and delete it after 30 days.
Who handles it for us
Supabase (database), Resend (email delivery), Vercel (hosting) and Instantly (sales email, for sample requests only) process data on our behalf and under our instructions.
These providers are in the United States, so your data is transferred outside the UK and the EU. We rely on the transfer safeguards they offer, such as the EU Standard Contractual Clauses and the UK Addendum.
We do not sell personal data, and we do not share it with anyone else.
How long we keep it
The Brief: while you are subscribed. When you unsubscribe we stop sending straight away. Within 30 days we delete your roastery, city and diagnostic answers, and we keep only your email address, the consent record and the date you left, so that we can show you had agreed and make sure you are never emailed again. An address that is never confirmed is deleted within 30 days.
Sample requests and contact: three years from our last exchange, then deleted.
Delivery records: two years.
Records of attempts to reach the closed signup address: 30 days, deleted automatically every day.
Your rights
You can ask us for a copy of your data, to correct it, to delete it, to restrict or object to how we use it, and to receive it in a portable format. You can withdraw consent at any time: every issue of The Brief has an unsubscribe link, and withdrawing does not affect what was lawful before.
Write to hello@b5estatecoffee.com. We answer within one month.
If you are unhappy with our answer you can complain to a data protection authority: in the UK, the Information Commissioner's Office (ico.org.uk); in the EU, the authority in your country.
Children
We sell to businesses. The site and The Brief are not directed at children, and we do not knowingly collect their data.
Changes
If this notice changes in a way that matters, we will say so in The Brief before it takes effect. The date at the top is the version in force.
